OverviewThe Administrative Specialist III works under administrative direction and is responsible for general oversight and coordinating the administrative workflow of the clinical operations of the A/I Division. This position provides administrative support for the APRNs, specialty nurses, dieticians and the clinical research staff. The Administrative Specialist III will cross-train to back up other support staff as needed and work with and assist the specialty nurses and dieticians in preparation for daily clinics, coordinates general office procedures, assists the office manager with special projects and works with other support staff. This position develops monitory and reporting systems to measure the effectiveness of the projects assigned.     • Primary responsibilities will include clerical duties such as answering phones, managing confidential phone and fax messages.
    • Sending patient messages through EPIC to the specialty nurses and research staff.
    • Returning calls and making reminder calls to patients families.
    • Clerical support for APRNS, specialty nurses, dieticians, and research staff and other clinical operations.
    • Works directly with the specialty nurses in preparation for daily clinics, sending and receiving patient referrals.
    • Works with dietician staff for communication with patients for oral food challenges.
    • Performs all general office duties which include providing assistance to physicians offices with regard to patient care.
    • Assists with completion of clinical documentation and referring physician communication.
    • Maintains reporting system for tracking clinics.
    • Updates patient eligibility to expand the clinical telemedicine practice.
    • Complies with administrative directives, standard business procedures, state/university guidelines and the Department of Pediatrics policy and procedures.
    • Filing charts and organization. Sending information to medical records.
    • Reserving the 6th floor conference room for meetings.
    • Organizing the nursing and research staff schedule and vacation calendar.
    • Take inventory of office supplies.
    • Coordinator for Resident and Medical Student Education.
    • Duties include maintaining up-to-date A/I elective rotation schedule and serving as the main contact for residents/students, assisting with pre and post tests on Blackboard/Web CT, preparing reports for faculty and providing documents for the rotation including clinics schedules.
    • Maintain working relationship with Pediatric Housestaff and medical student faculty and staff members.
    • Sending out monthly emails to the residents/students about their rotation, where to report and any information they may need for their rotation.--
    • Complies with administrative directives, standard business procedures, state/university guidelines and the Department of Pediatrics policy and procedures
    • Works with research nurse, dieticians and coordinators as needed including subject retention and study communication plus database completion for ongoing research studies. Organizes special projects as assigned by the manager.
    • Develops monitory and reporting systems for projects to measure effectiveness and quality improvement. --
    • Cross-trained to back up other support staff as needed for faculty.
    • May perform other duties as assigned.QualificationsHigh school diploma/GED plus 3 years of administrative experience, preferably in a medical office setting.--Knowledge, Skills & Abilities:
      • Must have experience with Microsoft Office programs.
      • Must--have strong oral communication skills.Preferred Qualifications:
        • Knowledge of SAP is preferred.
