Job Description: Office Manager Position Summary The office manager is responsible for managing front-office staff and administrative duties. This position reports directly to the hospital administrator and owner. This leadership position sets the example for all staff to follow in client service and office management by following financial, medical, and customer service policies of the clinic. The office manager directly supervises front office staff. Job Responsibilities Client Satisfaction Duties, 25%: Promote a client-centered practice environment Take care of customer complaints and other inquiries in a manner that shows sensitivity, tact, and professionalism May also serve as a front-office team member Forecasting in scheduler to ensure accuracy of upcoming appointments Personnel Duties, 25%: Create and maintain a secure and friendly work environment Supervise and work directly with receptionists Oversee or create the work schedules for receptionists in coordination with Hospital Administrator Manage relationships within the team Responsible for hiring, onboarding, and training of front-office staff Conduct timely performance reviews of receptionists on a 30-day, 90-day, and annual basis Manages and maintains IT infrastructure (liaison to IT company) Create and schedule ongoing training for the front office staff (2-3 times a month) Create weekly goals and review with front office staff Complete OSHA training with new hires and current employees on an annual basis Disciplinary actions when necessary (documenting/reviewing with employee) Accounting Duties, 25%: Prepare or oversee daily bank deposit preparation for accuracy and reconciliation Manage accounts receivable including managing/sending monthly statements, handling collections and upholding practice financial policies Making bank deposits 3 times a week and reconciling deposits to sales report Administrative Duties, 25%: Run payroll reports, review with hospital administrator to ensure accuracy, and report payrollbi-weekly Liaison to marketing firm Track the inventory of and handle office supply acquisitions Receive and sort incoming mail and manage outgoing mail Oversee and manage the company email Oversee the inventory of pet food in the reception area Ensure accuracy through reconciliation of monthly reports for new clients, referrals, etc. Annual practice management maintenance/purging with Hospital Administrator Identify opportunities for process and office management improvements, design and implement new systems in coordination with Hospital Administrator Create schedules and coordinate bookings and appointments in practice management system Schedule monthly staff meeting and ongoing trainings in practice management system Assist Technician Supervisor and Hospital Administrator with annual inventory count and recording Educational Requirements & Skills Needed Educational Requirements: 1-4 years of work experience in administrative/office management role Bachelor's degree (Preferred not required) Skills Needed: Highly organized and self-motivated Customer service Abilities to oversee daily accounting transactions with clients, banks, and suppliers Ability to lead others Foster a positive work environment for staff and clients Serve as the liaison between the hospital administer and/or practice manager and support staff Knowledgeable and has experience with Microsoft Office and Google Documents Knowledge in processing merchant service payments Type information and enter data with accuracy Time management skills Great attention to detail Excellent communication and interpersonal skills Strong problem solving and analytical skills Physical Obligations: Able to lift patients and carry equipment up to 25 pounds; ability to lift patients or carry equipment over 25 pounds with assistance Endure sitting, standing, and walking on hard floor surfaces for extended periods Able to work in noisy work conditions with sounds from animals and equipmentJob Type: Full-timePay: From $42,000.00 per yearBenefits: 401(k) 401(k) matching Dental insurance Employee discount Flexible schedule Life insurance Paid time off Professional development assistance Retirement plan Vision insuranceSchedule: Day shiftSupplemental pay types: Bonus payAbility to commute/relocate: Little Rock, AR 72211: Reliably commute or planning to relocate before starting work (Required)Education: Associate (Preferred)Experience: Management: 1 year (Required)Work Location: One location
