Job Purpose and Scope:

Provide assistance and back up to Payroll Manager in the preparation and distribution of the Bank's hourly and salaried payroll for multiple locations and multiple states. Provide assistance and back up as required in the preparation and maintenance of earnings and deduction records; federal, state and local taxes, Social Security contributions, contributions to employee benefit programs and other deductions are withheld from individual ACH. Serves as liaison with other departments in the resolution of payroll problems.

Essential Job Functions:


  • Provide assistance and back up to Payroll Manager in the preparation and distribution of the Bank's hourly and salaried payroll for multiple locations and multiple states.
  • Provide assistance in Year-end payroll processing
  • Responsible for entering all new hires and payroll changes into the HRIS system
  • Prepare various processing of severances and settlements, employee child support orders, garnishments, bankruptcies, employee verification and W2 requests.
  • Prepare weekly, bi-weekly, monthly and quarterly reports for the department and corporate finance department.
  • Maintains excellent customer service contact with employees regarding time and attendance, payroll, vacation leave policies and fringe benefits.
  • Work with payroll program providers (HRIS System) to determine root cause and solution of payroll system issues as well as improve processes when possible.
  • Maintain confidentiality of employee information
  • Ensures that all timesheets in the time & attendance system have been approved and all leave requests have been approved prior to payroll processing
  • Administration and training of the time & attendance system, time records, leave records, including maintaining contact with branch/time managers regarding employee time records
  • Preparation and distribution of in house reports including quarterly stock option report, FTE report, Distribution Code report and other adhoc reporting as requested from other departments. (Mortgage Dept Executive Dept and Corp Finance)
  • Maintain good punctuality and attendance to work
  • Produce accurate, thorough and timely work, while meeting commitments and following policies and procedures
  • Exercise discretion and independent judgment in matters of significance

    Knowledge, Skills & Abilities:

    • Cursory knowledgeable of payroll procedures
    • Cursory knowledgeable of payroll tax withholdings
    • Problem solving skills and root cause analysis of payroll system issues
    • Ability to define and document processes
    • Ability to present numerical data effectively
    • Ability to maintain confidentiality
    • Excellent computer skills with experience in Microsoft Word and Excel
    • Excellent verbal and written communication skills
    • Excellent customer relations skills
    • Ability to manage multiple priorities
    • Ability to work without close supervision
    • Willingness and ability to share expertise with others
    • Ability to produce accurate, thorough and timely work
    • Ability to exhibit sound and accurate judgment
    • Ability to work extended work hours when needed
    • Ability to travel and be away from home for several days

          Position Requirements:

          Basic Job Qualifications:

          • Minimum one (1) year human resources administration experience
          • Bachelor's Degree in business and/or equivalent experience
          • Professional Payroll certification preferred
          • Experience working with employee benefits preferred
          • Familiar with various payroll processing products preferred
