Summary:

Provides administrative and clerical support as required to attorneys and/or paralegals through preparation of correspondence, mail, filing, record-keeping, verbal communication, and special projects by performing the following duties:
Essential Duties and Responsibilities:
The duties and responsibilities listed below are not intended to be an exhaustive list of all responsibilities, duties and requirements of the job. Other functions may be assigned as firm conditions change.
* Open mail and ensure that docketing information is noted.
* Assist in drafting, typing, editing and photocopying correspondence, pleadings, reports, outlines from dictation and/or handwritten or typed text.
* Maintain current files and retrieve files and other records as needed.
* Communicate effectively with clients, courts, etc.
* Perform administrative responsibilities as required (i.e. reimbursements, travel arrangements)
* Schedule appointments, depositions, meetings, etc. as required.
* Enter attorney and/or paralegal time in the accounting system.
* Edit prebills and ensure that final bills are mailed timely.
* Knowledge of mailing procedures for overnight, certified, etc. mail.
* Perform front desk tasks: answer phones and assist with visitors to the office.

Supplemental Functions: Provide secretarial support as needed to other attorneys and/or paralegals. Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and/or Experience: High school diploma and one to two years related experience and/or training; or equivalent combination of education and experience. Past office experience in a law firm is preferred. Knowledge of Microsoft Word, Excel and Outlook is required. Knowledge of Microsoft Powerpoint is preferred. Language Skills: Ability to read and comprehend instructions, short correspondence, and memos. Ability to write correspondence. Ability to effectively present information to clients, employees of the firm, and the general public.

Mathematical Skills: Ability to calculate figures and amounts such as hours worked by hourly rate. Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral or report form.

Other Skills and Abilities: Skill and ability to use and operate a computer terminal, printer, copier, fax machine, typewriter, calculator, Dictaphone and telephone. Skill and ability to file in accordance with firm guidelines.

While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle or feel objects, or controls; and talk to hear. The employee frequently is required to stand and walk. The employee is occasionally required to reach with handles and arms, kneel or stoop. The employee must occasionally lift and/or move up to 10 lbs. Specific vision abilities required by this job include close vision, distance vision, color vision, and the ability to adjust focus.
