Job Details Company Overview Research Administrator-I manages pre-award activities for an assigned portfolio of grants and contracts within the Office of Sponsored Programs administrative network (OSPAN) using knowledge of grant and contract management rules, regulations, technical expertise, and analytical skills. Manages the day-to-day operations and objectives in support of the assigned portfolio. Contributes information and ideas related to areas of responsibility as part of a cross functional team. Ensures effective and efficient workflow and adherence to quality standards for staff/program and self. Ensures customer service to faculty and departments/divisions is exemplary. Research Administrator-II performs all pre-award activities of the RA-I in addition to all the post award activities within OSPAN for department/divisions. Managers the day-to-day operations and objectives in support of the assigned portfolio. Meets with Faculty, completes and communicates with the PI and department/divisions the monthly financial activity of each grant/contract. Contributes information and ideas related to areas of responsibility as part of a cross functional team. Ensures customer service to faculty and departments/divisions is exemplary. Ensures all applications meet agency and university guidelines and published timetables and deadlines. - Completely reads the agency guidelines and RFA instructions. - Ensures proposals are entered and routed in a timely manner for further review. - Confers with PI and Pre-award support team to secure necessary sub-awards documents for proposals. - Assists the PI in the development of budgets and budget justifications which includes proofing the budget for inconsistencies and ensuring accuracy. - Reviews budgets for consistency with sponsor, monitors compliance with agency and University regulations regarding submission; verifies all financial information to include application of the appropriate overhead rate for the project. - Advises the PI on administrative requirements in preparing proposal submissions, budget adjustments, and revisions necessary to meet the sponsor requirements. - Coordinates and reviews proposal elements (biosketches, facilities & resources) for consistency, accuracy, and completeness. - Revises proposals for consistency with sponsor guidelines for budget, format, font size, page limits, margins, excluding narrative content (obtain and fully read sponsor guidelines). - Monitors and facilitates proposal process through the routing process in compliance with University procedures and institutional signatures. - Obtains signatures as needed. - Monitors proposal status advises PI about requirements and deadlines associated with research protection protocols. - Performs related responsibilities as required. - Assists in defining account establishment parameters, including billing and reporting requirements, budget, and cost sharing obligations upon award acceptance. - Enters award in financial system and distributes award information to PI's, co-PI's and other relevant staff. - Coordinates adjustments to payroll for budgeted positions as needed. - Assists PI with non-financial report submissions as needed. - Maintains budget and projects future award expenditures. - Assists PI on a regular basis with budget and expense adjustments and revisions. - Assists with the submission of No Cost Extensions. - Responsible for re-budgeting requests and other changes to the award following sponsor guidelines and University policies. - Requests approval to pay subcontractor invoices. - Communicates with sub-award institutions regarding incoming and outgoing invoices. - Manages the lifecycle of the grant or contract. - Reviews effort reports and manages quarterly effort certification process for assigned units. - Transfers awards out of the University and closes out all funded projects according to university process and timelines. - Ensures customer service to faculty and departments/divisions is exemplary. - Other duties as assigned. Qualifications Minimum qualifications: Research Administrator I - Bachelor degree plus 2 years of general experience OR Highschool diploma plus 6 years of general experience. Research Administrator II - Bachelor degree plus 2 years general experience or grants management pre-award and post-award experience OR Highschool diploma plus 6 years of grants management pre-award and post-award experience. Grants management certification within 18 months of hire.
