OverviewThe Executive Assistant I is responsible for a broad range of activities that are critical to the functioning of the Pathology Department. The objective of this position is to ensure support to the Chair of Pathology and Director of the Lab and Pathology Service Line. This support includes a wide array of activities to ensure day-to-day operations go smoothly and that information that enhances integration and communication is shared and exchanged.-- The position provides a broad array of executive support to the Chair and Director.-- The position requires a wide degree of judgment to successfully enact its duties.--The Executive Assistant I must have the ability to set goals, prioritize competing demands, be an efficient task manager and communicate effectively with all levels of personnel, demonstrate highly effective interpersonal skills by maintaining good working relationships with all programs and divisions within the Department.-- Additionally, the Executive Assistant must make effective use of organization resources and demonstrate skills as a systems thinker.     • Ensures that all aspects of support are present for the Chair and Director.-- This includes coordination of executive work groups, setting agendas, record keeping, and all associated scheduling, communication, assignment tracking and monitoring of work groups as well as individual assignments.
    • Tracks the Chairs Councils and dissemination of key decisions and strategic direction.--
    • Must have a broad array of skills and knowledge to support the diverse needs of the Department.
    • Must be knowledgeable about all aspects of the College of Medicine and ICE or be able to connect to the needed resources.--
    • Must be able to deal effectively and proactively with all customers and provide extraordinary customer service and follow up.
    • Able to communicate well and inspire confidence is a requisite.--
    • Must be thoroughly familiar with the management aspects of the position.--
    • Must be available on-call 24/7 to assist with questions and able to return to the facility if necessary.
    • Must have the ability to manage overall project development activities and report problems.--
    • Assists with retrieving and distributing various reports for the Pathology Leadership including scorecards and dashboard results.
    • Manages documents, correspondence, work performance reviews, meetings, minutes, etc.--
    • Makes travel arrangements and processes travel related reimbursement/expenditures.--
    • Responsible for Kronos timekeeping for several sections within Pathology.----
    • Provide project management support to the Chair and Director.-- These duties include working closely with various standing and ad hoc committees as well as subcommittees and work groups.----
    • Assists with providing needed data, reports, policy via independent research.--
    • Prepares text documents, slide presentations and spreadsheets.
    • Must be proficient with Microsoft Office programs including Outlook, Word, Excel and PowerPoint.--
    • Clear tracking, coordination and communication of interdependent tasks.--
    • Responsible for accessioning and management of Chairs consultative outreach business.
